3 Phase Program Overview

Step 1: Kickoff Meeting and Chat bot Agents Survey

The first step involves organizing a kickoff meeting with key stakeholders, setting the stage for the AI Pilot Program. During this meeting, the objectives, expectations and logistics of the program will be discussed. Following the kickoff, a Chat Bot Agents Survey will be undertaken with key employees and stakeholders. The survey can be undertaken at anytime suitable to the participant. This survey aims to gather insights on current processes and identify workflow botttlenecks and pain point areas where AI can provide the most significant improvement opportunities. The feedback collected will serve as the foundation for the subsequent steps and it enhances employee buy in through their valued participation.

5 Step Pilot Program

Step 2: Audit of Business Infrastructure for AI Readiness

Once the survey results are in, the next step is to analyse the top findings.

This involves conducting a thorough audit of the existing business infrastructure to assess AI readiness.

Key factors to evaluate include current technology capabilities, data quality and availability (however for a pilot, we will seek to avoid high historical data requirements), employee skill sets, and organisational culture.

This audit will help determine the feasibility of implementing AI solutions and identify any gaps that need to be addressed.

Note: Whilst the full readiness audit will conclude at this point, we will have undertaken a precursor audit very early early in the engagement to ensure no show stoppers exist and unecessary costs incured.

Step 3: Recommendations and Benchmarking

Based on the audit findings, a comprehensive report will be compiled. This report will include key findings from the survey and audit, highlighting the highest ROI opportunity automation shortlist.

Additionally, benchmarking against similar business's or industries will provide context for the findings and help prioritise initiatives.

The report will be presented to the leadership team, offering insights and recommendations for moving forward with the AI Pilot Program.

Step 4: Downselection and Implementation Strategy

In this step, the leadership team will review the findings and recommendations to downselect the most promising pilot projects.

This collaborative discussion will ensure that the selected pilots align with strategic business objectives.

Following the downselection, an implementation strategy will be developed, outlining the steps, resources, and timelines required to execute the chosen AI initiatives effectively.

Step 5 Implementation & Testing

By following these steps, organizations can systematically approach the integration of AI technologies, ensuring that they are well-prepared to leverage the benefits of automation and enhance overall operational efficiency.

Implementation and testing may occur through your inhouse IT Team, a Competitive RFP Process, or via our Preferred Contractor Kipanga.

This preferred approach will be discussed at engagement commencement if possible.
